Photo|Frome is a community-driven organisation with diverse activities appealing to all age groups. That said, in the proper representation of contemporary themes, some photography may include adult documentary material.
In all cases, the work exhibited represents the views of the photographers or guest curators and not necessarily those of Photo|Frome or its founders.
Whilst we endeavour to ensure that all exhibitions, talks, workshops and portfolio reviews will take place as advertised, sometimes things are out of our control. We apologise and will endeavour to pre-inform about any such changes. We will ensure refunds as appropriate, though we cannot assume liability for, e.g. personal travel plans or other impacts of such last-minute changes.
We also ask, please, that children are supervised when visiting our venues and events.

In line with our commitment, Photo|Frome complies with the UK Equality Act 2010 and all relevant legislation and regulations governing equal opportunities and anti-discrimination. This includes our adherence to principles of fairness and equal treatment, regardless of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, or sexual orientation.
Furthermore, whilst Photo|Frome does not currently have employees, we are dedicated to promoting equal opportunities for all involved with the festival and its activities. We aim to be fair and transparent in all of our dealings with individuals and partner organisations. We also implement a ‘no bullying’ policy to ensure that everyone is in a safe, respectful, and supportive environment. We encourage open dialogue and reporting of any incidents to any board member of PhotoFrome CIC to investigate and to take prompt action as needed.

Terms & Conditions – Submitted Materials
When material is submitted we assume unless specifically notified in writing that the artist or author has sole ownership of that material and does not infringe the copyright, rights, or privacy of others. For photography of persons under 18 we assume that the artist is either the child’s parent or legal guardian, or has secured necessary parental permission. We take no responsibility for any claims against the artist.
Unless specifically agreed otherwise in writing with the copyright owner, Photo|Frome assumes that the organisers of our physical exhibitions, symposiums, talks, workshops, websites, social media, printed documentation and other related activities have been granted a non-exclusive licence to use submitted items as they judge appropriate in the execution of Photo|Frome’s programmes. This includes a non-exclusive licence to promote those activities publicly on, e.g., social media, websites, printed programme materials, and other promotional collateral.
Submitted items includes but is not limited to photographs (physical and digital uploads), installations, profiles, project descriptions, biographies, books, zines, digital files.
Photo|Frome assumes no rights for commercial use of submitted materials outside of the activities noted above. Any books, prints or other items which are offered for sale as part of Photo|Frome’s activities will be specifically agreed up-front with the artists concerned.
Photo|Frome will make every effort to ensure physical materials are properly and safely cared for, and items will be insured at replacement value unless otherwise agreed with the artist.

The methods of submission of physical and digital materials submitted for exhibitions and other events will be agreed directly with the artists.
Submission requirements for contests and other open activities will be included in entry forms.
We will also occasionally accept written articles for use on our website, blog, social media or printed materials. Subject matter should be related to our core topics. Articles submitted will not be altered without prior permission, except for formatting, and the author retains full copyright. We do not compensate for such guest articles but we will include a short biography and photograph about authors. We are also happy to link to other websites and social media channels in the bio section (within reason – not too many links, please!). If requested, we will also publish an email link for the author.
Unless specifically pre-agreed, all articles are published non-exclusively – you are free to submit your work to other publishers. If your work is first published on our sites, we request that you include a reference to the original publication. We will only publish articles submitted if contact details are enclosed (although we will withhold the writer’s identity if requested). We reserve the right to publish. Publication does not suggest that Photo|Frome or any of our managing team endorses the views expressed.
We may be asked for materials we exhibit or otherwise use to be featured in press reports, reviews, websites or newsletters. Photo|Frome will normally allow this if our organisers judge the context appropriate, as it extends the reach of the artist’s or author’s work and we are committed to providing excellent coverage of all of our artists and authors.
We will insist on proper copyright attributions for the artists or author. We cannot however guarantee this in third-party use, nor can we accept any liabilities from such publishing.
If material is so published, we will inform the artist or author.
Health & Safety
Photo|Frome is committed to the health, safety, and well-being of our employees, volunteers, visitors, and the general public. We strive to provide a safe working and visiting environment and ensure that our operations comply with the relevant health and safety legislation. We are guided by the following key principles:
Legal Compliance: Whilst the ultimate management and ownership of our venues is outside of our control, Photo|Frome does aim to comply with all applicable health and safety laws and regulations. This places a duty on organisations to ensure, as far as reasonably practicable, the health, safety, and welfare of their employees, volunteers and others who may be affected by their activities.
Risk Assessment and Control: We conduct venue risk assessments to identify hazards, assess associated risks, and implement appropriate control measures at our venues. We will actively work with venues to manage risks and strive to eliminate or reduce them to an acceptable level. For more details on our venues, and information for volunteers, click here.
Continuous Improvement: We are committed to continually improving our health and safety performance. We will monitor our processes, policies, and procedures, and seek opportunities to do better.
Privacy & Data Protection
We respect individual privacy. We do not reveal personal information to third parties about any individual or organisation that contacts us (via the contact form or otherwise), unless there is mutual agreement.
During exhibitions, talks, and workshops we keep track of visitor numbers in order to share gross numbers with, e.g., funding partners. But we never share personal information. At exhibitions, we may have a visitors book for comments, which is entirely voluntary. We may share comments received (but not names without specific permission) with third parties or in our marketing. It is possible that visitors may appear in photographs or videos of our exhibitions which are used for publicity purpose. Visitors will not be named without permission.
PhotoFrome CIC (the ‘Data Controller’) is compliant with UK Data Protection law and EU GDPR by keeping personal data up to date; by securely storing and destroying it as appropriate; by not collecting excessive amounts of data; by protecting data from loss or unauthorised access and by ensuring that technical security is in place. It should be noted that most of our interactions with the public do not require specific personal consent unless otherwise noted (e.g. in supporter lists, mailing etc.). Some ways that we may use personal data include:
- To administer supporter and visitor records
- To fundraise and promote the interests of Photo|Frome
- To manage our employees and volunteers
- To maintain our own accounts and records
- To inform our audiences of news, events and activities relating to Photo|Frome
Our mailing list provider, MailChimp, is both well respected and also compliant with with UK Data Protection law, and EU GDPR. Third parties (such as Addthis, Disqus) collects statistical data from the site which may be used for analytical or marketing purposes. Whilst most of the materials on our site can be used without sharing any of your personal data, please note that in some sections you may be disclosing personal information about yourself. This website also uses industry-standard Google Analytics to measure traffic and page visits.

The Photo|Frome logo is a trademark ™ registered with the UK Intellectual Property Office, No. UK00003758896. Any use of the Photo|Frome logo by 3rd parties should use one of three colours – white, blue (#60AEE1), or dark grey (#252526).
All other trademarks are the sole property of their owners.
